The Volunteer Development Specialist is a member of the Volunteer Development Team and supports the effective coordination and management of volunteer programs across the organization. The role works collaboratively with volunteer coordinators, staff partners, and Better Impact data entry staff to support timely, accurate data entry and reporting that meets compliance and program needs. The position also contributes to the delivery of training by applying best practices and recommended methods to support consistent and effective volunteer processes. Through ongoing review and analysis of volunteer data, the role helps identify data quality issues and supports both immediate operational needs and longer-term volunteer development goals.

In this role, you will:

  • Support the recruitment of volunteers across the Greater Toronto Area by responding to external volunteer inquiries in a professional and timely manner, reviewing online volunteer applications to assess suitability, directing applications to appropriate Volunteer Coordinators for further screening, and coordinating with Volunteer Coordinators to confirm recruitment needs.
  • Assist Volunteer Coordinators by responding to report requests, monitoring volunteer applications, tracking application trends, training new staff on Better Impact, and coaching the data entry team when required.
  • Update and maintain the Volunteer Opportunities page to reflect current vacancies, keep records of YMCA volunteer postings on external websites, and attend outreach events as required.
  • Prepare and maintain volunteer metrics and reports, including monthly metrics, compliance and insurance reports, and quarterly active volunteer lists.
  • Build and maintain positive working relationships with staff, volunteers, and community members by providing updates at volunteer coordinator meetings, supporting field staff during special events, and participating in site visits.
  • Assist Volunteer Development with association-wide events, including National Volunteer Week, International Day of the Volunteer, International Volunteer Managers Day, conferences, celebrations, ceremonies, and other special events and training initiatives.
  • Participate in the Volunteer Advisory Circle on a quarterly basis and as required to support information sharing and collaboration.
  • Travel to various YMCA program locations across the Greater Toronto Area to support special events, meetings, and special projects.
  • Perform other duties as assigned.

You bring:

  • Post-secondary education in a related discipline or equivalent experience.
  • Volunteer experience or experience working with volunteers is considered a strong asset.
  • Previous experience and knowledge of Better Impact and Smartsheet is considered an asset.
  • Previous experience generating reports using a database.
  • Access to personal transportation is considered an asset.
  • Excellent proficiency in Excel.
  • Proficiency with personal computer applications including Microsoft Office, Microsoft Outlook, MS Teams, and internet search engines.
  • Strong time management skills.
  • Ability to meet deadlines and work independently to perform regular duties.
  • Responsiveness to calls and emails in a professional and helpful manner.
  • Excellent attention to detail.
  • Sound judgment with the ability to maintain a high degree of confidentiality.
  • Well-developed interpersonal and relationship-building skills with the ability to establish rapport and communicate effectively with members, staff, and volunteers.
  • Excellent written and verbal communication skills.
